Club Terms of Service
Last updated September 28, 2026.
These Club Terms of Service ("this agreement") are between Chinook Loop, LLC, a Washington limited liability company doing business as Wonderboy Creative ("gunclub.app," "we," "us"), and the club that signs up for gunclub.app ("the Club," "you"). They cover the gunclub.app membership platform and, if you order it, the gate integration.
There's no long-term contract. This agreement applies for as long as you use the Service, and you can cancel any time.
Please read Sections 2 and 9 through 14 closely. They explain what the Service does not do and limit what we owe if something goes wrong. Our fees are set with those limits in mind.
1. The Service
1.1 What we provide. A hosted membership system for your club. Depending on what's available and what you turn on, it can include your website, member portal, applications and approvals, dues and renewals, events, waivers and acknowledgements, guest check-in, orientation and credential records, card records, range status, messages and reports (the "Service").
1.2 Hosting. We host the Service on servers we manage and keep it running, updated and backed up.
1.3 Changes. We improve the Service over time. We won't remove a core feature you rely on during a paid term without telling you at least 30 days ahead.
1.4 Support. We provide support by email and phone. We answer as quickly as we reasonably can, and we handle first anything that stops you from taking payments or managing your gate.
2. What the Service is and is not
2.1 A records tool. The Service keeps your club's records and carries out the rules and decisions you set up in it. It is not a security system, an alarm or a safety system. It isn't built for high-risk uses (Section 11).
2.2 You run your club. You decide who may join, who is suspended or expelled, who may come onto your property, who may shoot, who is oriented or qualified, who may bring guests, and when ranges open or close. The Service records those decisions. It does not make them.
2.3 We don't screen people. The Service does not run background checks or check anyone's criminal record or legal eligibility to have firearms. Any attestation, background check result, NRA number or certification in the Service is what someone entered. We don't verify it.
2.4 ID checks. The guest ID check reads an ID and compares its dates to your rules. It can't spot a fake ID or someone using another person's ID. Whoever is at your desk or range is responsible for looking at the ID and the person holding it.
2.5 Waivers and documents. The Service presents and records the waivers, rules and forms you give it. You're responsible for what they say and whether they hold up in your state. We don't give legal, tax or insurance advice.
2.6 Range status and emergency information. These pages show what you enter. They don't replace signs at the range, a call to 911, or anyone's own judgment about safety.
2.7 Keep a way to act without us. Software fails and internet connections go down. For anything where a failure could get someone hurt, keep a way to act without the Service: a way to turn off access at the gate itself, a way to close a range on site, and your own copies of the records you need.
2.8 Removals for safety. If you suspend, expel or remove anyone because you believe they may be a danger, confirm directly in your gate system, or with your gate vendor, that their access is off. Also change any gate codes or lock combinations they know.
2.9 Your property and people. You're responsible for the safety of your property, ranges, events, members, guests and visitors, including your range rules, supervision, range safety officers and emergency plans.
3. Your responsibilities
3.1 Accurate setup. Keep your settings, rules, member records and range information accurate and current. The Service follows what you set.
3.2 Admin accounts. Only people you authorize may use admin accounts. Keep logins private, use two-factor sign-in where it's available, and remove anyone who leaves their role. You're responsible for what's done under your accounts.
3.3 Accounts in the Club's name. Your payment processor accounts, domain, email sending domain and gate vendor account belong to the Club and should be registered to it, not to an officer or to us. We can help set them up, and you authorize us to connect to them and act in them as needed to run the Service.
3.4 Your members' payments. Your members pay the Club through the Club's own processor accounts. We never hold that money. You're responsible for your processor's fees, refunds, disputes and chargebacks, and for any surcharge rules in your state.
3.5 Taxes and receipts. You're responsible for your tax status, your sales tax settings, and the wording on your receipts and donation statements.
3.6 Your members' information. You're responsible for having the right to give us your members' information, for telling your members how the Club uses it, and for the messages you send them. Children under 13 don't get their own login. A parent or guardian holds the record.
3.7 Your waivers. Your waivers and forms are yours. If you like, they can name the Club's service providers, including gunclub.app, among the people released.
3.8 Lawful use. You won't use the Service to break the law, to sell or transfer firearms, or to send spam. You're responsible for following the laws that apply to anything you sell.
3.9 Our terms for your members. Your members, applicants and guests accept our short Terms of Use when they first log in or check in. Those terms cover the software only. They don't change anything between them and the Club.
4. Your data
4.1 Your data is yours. Your member records and club content belong to the Club. We use them only to run the Service for you. We don't sell them, and we don't show one club's data to another.
4.2 Who helps us. We use a small number of providers to run the Service, such as our hosting company and email delivery service, plus the payment processors and gate vendors you connect. Each gets only what it needs to do its job. We'll give you a current list on request.
4.3 What we don't keep. The Service is built so that card and bank account numbers stay with your payment processor, and so that ID images, license numbers and ID barcode data are not stored.
4.4 Security and backups. We use reasonable safeguards to protect your data and back it up regularly. No system is perfectly secure.
4.5 If there's a breach. If we learn that someone got unauthorized access to your data, we'll tell you promptly and help with any notices the law requires.
4.6 Government requests. We won't give your member data to any government agency unless the law requires it. If we get a subpoena or other legal demand for it, we'll tell you before we respond, unless the law forbids it, so you can object.
4.7 Getting your data out. Your data is available for export at any time: ask us and we provide it. When this agreement ends, we'll keep it available for export for 60 days, then delete it. Backups roll off on their normal schedule. We may keep billing records and anything else the law requires.
4.8 Counts and usage. We may use counts and usage data that don't identify the Club or any person to run and improve the Service.
4.9 Privacy Policy. Our Privacy Policy explains how we handle personal information, including your members'.
5. Fees and payment
5.1 Fees. You'll pay the fees for the plan you choose, at the prices shown on our website or at checkout, and any fees in a written quote we give you, such as for the gate integration.
5.2 How you pay. You can pay by any method we offer at checkout, such as bank debit or card. Card payments may include a processing fee, which we'll show before you pay.
5.3 Automatic payments. When you save a payment method, you authorize us, through our payment processor, to charge it for your fees when they're due, until you cancel or remove it. You can change your payment method in your portal.
5.4 Changes to your fees. Your fees can change if your plan or member count changes, or if we change our prices. Your member count is the active member list you give us when you sign up, and after that the roster on file at each annual renewal. We'll tell you before a change takes effect, and a price change never applies to a period you've already paid for.
5.5 Failed payments. If a payment fails, we'll let you know and may try it again. If fees are still unpaid 30 days after they were due, we can suspend the Service after 10 days' written notice. While suspended, your data is kept, but changes stop reaching your gate, so you'll manage gate access directly until we restore the Service.
5.6 Taxes. Fees don't include taxes. If we're required to collect sales or similar tax, we'll add it to your bill.
6. Term and ending
6.1 No long-term contract. This agreement starts when you sign up and lasts as long as you use the Service. You can cancel any time by telling us in writing. Email counts.
6.2 When you cancel. You keep the Service through the end of the period you've already paid for. Paid fees aren't refunded, including a prepaid year. There's no cancellation fee, and we won't charge you again except for fees already owed.
6.3 If one of us breaks the agreement. Either of us can end this agreement if the other breaks it in a serious way and doesn't fix it within 30 days after written notice. If you end it because we broke it, we'll refund prepaid fees for the unused time.
6.4 If we end it. We can end this agreement with 30 days' written notice for any reason, or 90 days' notice if we stop offering the Service. Either way, we'll refund prepaid fees for the unused time.
6.5 Immediate suspension. We can suspend access right away if we need to stop a security threat, illegal use, or harm to anyone. We'll tell you why and restore access as soon as it's safe.
6.6 When it ends. Your access ends, and changes stop reaching your gate, so you'll manage gate access directly from that day. You can export your data under 4.7, and your logo, photos and text are yours to take. If we registered a domain for you, we'll transfer it to you. The website itself, its design and build, is part of the Service and stays with us, the way an office stays with the building when a tenant moves out. Any unpaid fees are due.
6.7 What lasts. Sections 2, 4, 6.6, 7, 8 and 10 through 15, and any fees owed, keep applying after this agreement ends.
7. Ownership
7.1 Ours. We own the Service, its software, designs and templates, and anything we build to run it, including work we do for your club. You have the right to use the Service while this agreement lasts.
7.2 Yours. Your logo, photos, text and data stay yours. You give us permission to use them to run the Service and your site.
7.3 Naming you as a customer. We may name the Club as a customer, unless you tell us not to.
7.4 Suggestions. If you suggest an improvement, we can use it freely.
7.5 No copying. You won't copy, resell or reverse engineer the Service, or let anyone else do so.
7.6 If someone claims we copied them. If someone claims the Service, as we provide it, infringes their patent, copyright or trademark, we'll defend you and pay any resulting judgment, or any settlement we agree to, within the limits in Section 12. We may instead change the Service so it doesn't infringe, or end this agreement and refund prepaid fees for the unused time.
8. Confidentiality
Each of us will keep the other's non-public information private and use it only for this agreement. This doesn't cover information that's public, that the one receiving it already knew, or that the law requires be disclosed. Your member data is covered by Section 4.
9. Gate integration
This section applies only if you order the gate integration.
9.1 What it does. When a membership starts, renews, lapses, is suspended or ends, the Service sends the change to your gate system through your gate vendor's software. Changes go out on a short schedule, usually within minutes, not instantly.
9.2 What it depends on. The gate integration depends on things we don't control: your gate vendor's software and servers, your gate hardware, and power and internet at your property. We don't make, sell or support your gate system, and we don't warrant it.
9.3 Your vendor account. Your gate vendor account and contract belong to the Club. You give us credentials to connect, and you can take them back at any time. If you do, changes stop reaching the gate.
9.4 Changes can fail. A change can fail or be delayed. The Service shows changes it couldn't complete on your admin dashboard. You're responsible for checking it and acting on what it shows.
9.5 Records you manage. People you manage directly in your gate system, such as staff or contractors, can be marked so the Service never changes them. Those records are yours to manage.
9.6 Gates that can't connect. If your gate can't connect to the Service, we provide a file for a volunteer to load into your gate system. Access changes only when that file is loaded.
9.7 Physical security is yours. The gate integration only adds and removes credentials. It doesn't detect propped gates, tailgating, borrowed cards, shared codes, or anyone who gets in without a card. Your locks, fences, cameras, codes and range officers are your responsibility.
9.8 Removals for safety. Section 2.8 applies to every removal made for safety reasons.
10. No warranty
EXCEPT FOR WHAT THIS AGREEMENT SAYS WE WILL DO, THE SERVICE AND THE GATE INTEGRATION ARE PROVIDED "AS IS" AND "AS AVAILABLE." WE DISCLAIM ALL OTHER WARRANTIES, EXPRESS OR IMPLIED, INCLUDING MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE AND NON-INFRINGEMENT.
WE DON'T PROMISE THAT THE SERVICE WILL BE UNINTERRUPTED, TIMELY, SECURE OR ERROR FREE.
11. High-risk uses
The Service isn't designed or intended for uses where its failure could lead directly to death, personal injury or serious property damage. Don't rely on it alone for a safety decision, such as who may be on your property or whether a range is safe to open. WE DISCLAIM ANY WARRANTY OF FITNESS FOR THOSE USES.
12. Limits on our liability
12.1 NO INDIRECT DAMAGES. WE WON'T BE LIABLE FOR INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, EXEMPLARY OR PUNITIVE DAMAGES, OR FOR LOST DUES, REVENUE, PROFITS, DATA OR GOODWILL.
12.2 CAP. OUR TOTAL LIABILITY FOR ALL CLAIMS RELATED TO THIS AGREEMENT OR THE SERVICE, UNDER ANY THEORY, INCLUDING CONTRACT, NEGLIGENCE OR STRICT LIABILITY, WILL NOT BE MORE THAN THE FEES YOU PAID US IN THE 12 MONTHS BEFORE THE EVENT THAT LED TO THE CLAIM.
12.3 Why. These limits apply even if we were told a loss was possible, and even if a limited remedy fails its essential purpose. They're a basic part of the deal. Without them, our fees would be much higher.
12.4 Where the law says otherwise. If the law that applies doesn't allow part of this section, our liability is limited as far as that law allows. These limits don't apply to your duty to pay fees or to your obligations in Section 13.
12.5 Time to bring a claim. Any claim against us must be brought within one year after it arises.
13. Indemnification
13.1 If someone comes after us because of your club. You'll defend, indemnify and hold us harmless from claims brought by anyone else, and the damages, settlements, attorney fees and costs that come with them, arising from:
- your club's property, ranges, events, activities or membership decisions, including claims of personal injury or property damage;
- your use of the Service in breach of this agreement or the law; or
- your data, content, waivers or messages.
13.2 How it works. We'll tell you promptly about a claim. You'll control the defense, and we may take part with our own lawyer at our own cost. You won't settle a claim in a way that admits fault for us, or requires us to pay or do anything, without our written consent.
13.3 Who's covered. In this section, "us" includes our owners, employees and contractors.
14. Insurance
You're responsible for insuring your club, including its property, ranges, events and activities.
15. General terms
15.1 Only between us. This agreement is only between the Club and us. No member, guest or other person has rights under it.
15.2 Washington law. Washington law governs this agreement. Any lawsuit about it will be brought in the state courts in Walla Walla County, Washington, or the federal court for the Eastern District of Washington, and both of us agree to those courts.
15.3 Things beyond control. Neither of us is responsible for a delay or failure caused by something outside reasonable control, such as a power or internet outage, an outage at one of our providers or your vendors, fire, weather, or government action. This doesn't excuse paying fees.
15.4 Notices. Written notices go by email: to you at the address you gave at signup, and to us at support@wonderboycreative.com. Either of us can change our address by telling the other.
15.5 Transfers. You can't transfer this agreement without our written consent. We can transfer it to a company we form or control, or to anyone who takes over the Service.
15.6 Updates to these terms. We may update this agreement by emailing you at least 30 days before an update takes effect. If you keep using the Service after that, the update applies. If you don't accept it, you can cancel before it takes effect, and we'll refund prepaid fees for the unused time.
15.7 The whole deal. This agreement, the plan you choose at checkout and any written quote we give you are the entire agreement between us and replace any earlier discussions. If a written quote conflicts with this agreement, the quote controls its prices, and this agreement controls everything else. Except under 15.6, changes must be in writing and agreed by both of us. Email counts.
15.8 Other terms. If a court finds part of this agreement unenforceable, the rest still applies. Not enforcing a term isn't a waiver of it. We are independent parties. Accepting online counts as signing.
15.9 Accepting. You accept this agreement by checking the box at signup, or by telling us in writing that you accept. The person who accepts confirms the Club has authorized them to.
